Digital Services

Back Office integration with eCommerce: Session to be delivered by Consultancy Services following the promotion of the customer’s website to their UAT environment (Phase 1 only). Consultancy is provided on a reasonable endeavours basis – should further assistance be required this will be provided on a chargeable basis only and subject to the Consultancy Services Department’s lead times at the point of receipt of the Order Form by the Consultancy Services Department. Consultancy Services to assist with the creation of back office main files for use with an Open GI eCommerce solution to enable the customer to commence their testing. Files include (and are not limited to) Executives, Agents, Source Codes, Insurers, and Freeform Search Indexes. Session is to also provide assistance with locating and examining quotes in the Prospect database and converting bought policies to the Core Back Office. Session may be delivered remotely or on-site at the customer’s offices and will be confirmed in writing by Consultancy Services.

Hosted eQuotes Development Consultancy: Two days of Development Consultancy will provide up to a maximum of two days of support and assistance to the nominated third party in relation to interaction with the Hosted eQuotes service. This charge is non-refundable, irrespective of whether the entire two days are exhausted. If additional consultancy beyond these two days is required it must be contracted for separately.

eCommerce Out-of-Hours Support: The out-of-hours support service provides resource to reset eCommerce-related services such as eBroker websites, eAggregator, Open Quote and Active Quote services in the event of any degradation or outage of service.  No provision is included to apply code changes or fixes to these services outside of standard working hours.

eCommerce Out-of-Hours Support – Development resource: All development resource is excluded from this service.  Any situations where development staff are required to investigate or fix program and/or application errors will need to be dealt with through the Open GI Support Centre during normal office hours.

mCommerce delivery: This is a standardised post-quote journey. It may not include all post-quote functionality that exists in your current eBroker site. Any existing bespoke development is also excluded from the mCommerce delivery.

Digital Elements Service Pack additional days: Up to a maximum of 10 additional Man-days per calendar month can be contracted for by the Client following the purchase of either the 3 or 5-day Service Pack. Where Open GI agrees to rollover Man-days, the rollover Man-days must be used by the end of the following calendar month otherwise they will be lost and no refund will be provided for unused Man-days. Service Pack Man-days can only be used in relation to the corresponding Digital Elements website for which those Service Pack Man-days were ordered. The only exception to this is where an identical change is required on a different Digital Elements website or websites of the same product line, for example, two differently branded Digital Elements Motor websites. Service Pack Man-days should be scheduled at least one month in advance. For changes required at short notice that are sized at less than the originally contracted [3 or 5] Man-day monthly Service Pack allowance, the following timescales will apply on a reasonable endeavours basis. Changes submitted up to the 20th day of the month will be completed within the same calendar month where unused Man-days are available. Changes submitted after the 20th day of the month can start in the same calendar month where unused Man-days are available and completed the following calendar month.

Digital Products

Digital Elements and Hosted eQuotes: The provision of Digital Elements or Hosted eQuotes does not imply the agreement of the relevant insurers and / or wholesalers to offer their products via the Internet. It is the responsibility of the contracting client to obtain the written authorisation of their insurer / wholesale partners before making any of their products available in this way.

eAggregator Training Branch: Customers must declare on this Order Form the branch number of any branches that are being used for training purposes and subsequently if they start to use it as a live branch.

Hosted e-Quotes: Open GI continually monitors the performance of the Hosted eQuotes Service and measures the impact of individual customers upon the hosted infrastructure. Where it is noted that the activities of an individual customer present a significant risk of reduced performance being experienced by other subscribers of the service, Open GI will take steps to restrict the usage of such heavy users or consider additional charges as appropriate. The impact will be measured against the average usage across all users of the service. Quotations returned via the Open GI Hosted eQuotes service may only be transferred to an Open GI Core system via a subsequent call to the Open GI Hosted eQuotes service and its “sendtobroker” function. Transfer of quotation data by any other means is in breach of the licence terms. Quotations transferred will exhaust a Hosted eQuotes lead transfer transaction unit and subsequent policy sales will exhaust a Hosted eQuotes sales conversion transaction unit. When a client links directly to an aggregator then the business source code must be sent for the aggregator in question to Hosted eQuotes to perform a quote.

eCommerce Solution: Shared Hosting to include –

  1. Weekly rates
  2. 512kBit Bandwidth
  3. Back Up (Daily)
  4. Basic DR (24-Hour RTO/RPO).

Additional bandwidth or changes to Select Lists will be subject to additional charges. Domain registration is excluded – customers’ responsibility. SSL certificates are required to make the website communicate securely (HTTPS), client to supply – Open GI can offer advice. Services are dependent on sufficient infrastructure being in place.  If extra hardware/software are required, then they are subject to a separate Order Form.

Custom Quote: In order to receive the additional aggregator questions, at least one broker-defined Custom Quote question needs to be implemented in the back office.  Broker-defined Questions(s) will not be available to aggregators to populate as a generic approach is adopted for Open Quote. Custom Quote is enabled per server NOT per branch therefore CQ Questions are to all branches once enabled.

eCommerce Hosting Service Definition: Hosting is provided on a unique, fixed IP address basis. Each unique, fixed IP address is subject to a separate Open GI eCommerce Hosting service. Hosting is provided on a shared server basis. Open GI’s Commerce Hosting Service requires SSL certificates to be in place. Sourcing SSL certificates is the client’s responsibility. Each eCommerce Hosting service includes:

  1. A maximum of 512kbit bandwidth (additional bandwidth if required can be purchased separately)
  2. Once-daily back-up
  3. Basic Disaster Recovery Service (24-hour RPO).
  4. Weekly distribution of insurer product rates (applies to eBroker service)
  5. RPO – Recovery Point Objective (maximum time back to which data may be restored to).

eCommerce Hosting Service Exclusions: Open GI’s eCommerce Hosting Service does not include the following: Domain registration, SSL certificates (required for secure website connectivity via HTTPS) & Insurer “select list” amendments (subject to separate Order Form).

eAggregator Transaction Units: Open GI’s eAggregator service requires eAggregator Lead Transfer units for each prospect / quotation transferred into the Open GI core back office and eAggregator Sales Conversion units for subsequent policy sales. For eAggregator integration to the core Open GI back office, an Open GI InStream Integrated web service configuration service and supporting InStream licence (if required) must be contracted for and the necessary infrastructure be in place to accommodate this. Aggregator Lead Transfer and Sales Conversion Units must be contracted for separately as and when required.

Digital Elements/eAggregator/Hosted eQuotes Lead Transfer and Sales Conversion units: Each record imported into APM via InStream utilises a Lead Transfer unit and each record converted from APM to Core BO within 90 days of import utilises a Sales Conversion unit. For quotations generated within a broker’s website, eBroker Lead Transfer / Sales Conversion units are required. For quotations generated via Open GI’s hosted eAggregator service, eAggregator Lead Transfer / Sales Conversion units are required. For quotations generated via Open GI’s Hosted eQuotes service, Hosted eQuotes Lead Transfer / Sales Conversion units are required. You will need to purchase units in advance.

Hosted InStream Units: Each record transferred into APM via Hosted InStream utilises a “Lead Transfer” unit and each record subsequently converted from APM to Core BO within 90 days of transfer utilises a “Sales Conversion” unit. When all existing units are exhausted then additional units will need to be purchased for the purposes of transfer via Hosted InStream and resultant conversion.

Test Branch: For all Digital developments, a training/test branch must be in place or must be contracted for if not in existence. The training/test branch must be installed and configured prior to deployment of a Digital development. Delays in delivery will occur where this has not taken place.

Digital Fact Sheets: Order Forms for Digital Developments can only be accepted with a signed and dated Product Fact Sheet.

Hosted eQuotes: Hosted eQuotes requires Hosted eQuotes Lead Transfer units for each prospect / quotation transferred into the Open GI core back office and Hosted eQuotes Sales Conversion units for subsequent policy sales. Each business line (i.e. motor, home, commercial vehicle and motor cycle) must be licensed individually.

eBroker for PowerPlace: Contracts can only be accepted with a completed Configuration Sheet. Open GI reserves the right to promote the eBroker for Powerplace site to live following a minimum of two weeks in UAT (User Acceptance Testing).

Hosted eQuotes Licence Limits: Each licence band for Hosted eQuotes has a daily quotation limit which will be reset at midnight, any unused quotation allowances will not be carried over to the following day. Once the daily quotation allowance has been reached no further quotations will be processed. Should you elect to exceed your daily quotation limit, additional Quotation Units will be utilised, taking one unit per quotation. These units must be purchased in advance.

Hosted eQuotes Additional Quotation Units: Where you have elected to exceed your daily quotation limit, one Additional Quotation Unit will be utilised per quotation. These Units will not be utilised for any quotations still within your daily quotation allowance.

Open Workflow Manager for eBroker: Each individual eBroker Brand will require a separate licence for Open Workflow Manager as the software is licenced to each individual eBroker Brand rather than each business line. For example, if two individual eBroker for Motor sites are co-existing for the same Broker, then two Open Workflow Manager for eBroker for Motor Licences are required.

Open Workflow Manager for eBroker: Open Workflow Manager caters for eBroker sites with existing bespoke functionality and/or bespoke back office elements. Subject to Pre-Sales assessment, additional development time may need to be contracted for.

Digital Delivery: Delivery of a Digital Product requires participation of the broker. This will normally take 5 to 10 days effort for the broker and will include the following activities, Provision of configuration information to define the site, Attendance at a kick-off meeting at the Open GI offices, User Acceptance Testing of the Digital site and provision of feedback.

eBroker for PowerPlace – Additional Business Lines Inclusive Upgrade: The additional business lines of Shop / Office & Surgery / Pub & Restaurant / Hotel and Guesthouse will all be provided to the existing eBroker for PowerPlace site and will inherit the same functionality.

mCommerce and eBroker Enhancement – Post Quote Journey Dependencies: These are dependent upon the existing eBroker site residing on the eBroker3 platform and cannot be provided where the eBroker site resides on the eBroker2 platform without contracting for an eBroker3 upgrade. CreditLine Plus must be in operation on the existing eBroker site and will require an order form for upgrade if not already in place. BACS validation must also be active. The site cannot be accessed via an iFrame.

eBroker for PowerPlace – chargeable bespoke development: eBroker for PowerPlace is a generic offering only, no bespoke development is included other than to include a single instance of Brokers brand/livery. Open GI will make changes to the default eBroker for PowerPlace platform at its discretion.

eBroker for PowerPlace – Licences & annual recurring charges: The annual recurring charge covers hosting, support and maintenance in the form of one livery, branding or compliance change per annum, based on an Order Form commencement date.  Any additional requests will be subject to time and materials charging. Changes permitted are based on generic platform available. Bespoke changes are excluded. The licence includes only one livery, branding or compliance change per annum, based on an Order Form commencement date. Any additional requests will be subject to time and materials charging.

eBroker for PowerPlace – Lead transfer and sales conversion units: Each record imported into APM via Hosted InStream utilises a lead transfer unit and each record converted from APM to Core BO within 90 days of import utilises a sales conversion unit.  For each business line to be quoted via eBroker for PowerPlace website, eBroker lead transfer / sales conversion units will be required.  Units will need to be purchased in advance of live trading. The total quantity of units can be split across Business Lines which must be advised by the broker pre-contact. Should a Business Line exhaust its unit allocation, new units must be purchased, any remaining units from another Business Line cannot be transferred.

eBroker for Powerplace: Where a client has implemented an alternative to NEGX their workflow will need to be modified for online B2C business to use standard NEGX. In order for the build of eBroker for PowerPlace to start a full PowerPlace account must be active with a signed Order Form and TOBA. No build will commence until this is active.

Open Client Check / Broker Enrichment eBroker: For an Open Client Check service or Broker Enrichment to be used by an eBroker site the question(s) that the check is based on need to be asked on the site. If the questions are not asked then a change request will be required to add them.

eCommerce Change Request – eBroker for PowerPlace: This Change Request will allow eBroker for PowerPlace one livery, branding or compliance change per annum under the terms of the original Order Form, based on Order Form commencement date. Any additional requests will be subject to time and materials charging.

CreditLine Plus with eBroker for PowerPlace sites: Brands, business lines and sites must use the same CreditLine Plus account. If an eBroker for PowerPlace site already exists, the CreditLine Plus registration form will not be required with this Order Form.

Open GI will add analytics for internal purposes, which is not directly shared with the broker Client. It will meet required data protection and compliance guidelines regarding cookies and similar technologies.

Digital Analytics: Digital Analytics is compatible with Digital Elements sites only.
